1. Information We Collect
eAI Examiner collects the following categories of information in order to provide our AI-powered assessment platform:
- Account information — names, email addresses, and institutional role (teacher, student, principal, parent).
- Assessment data — questions, answer sheets (uploaded images or typed responses), AI-generated evaluations, scores, and performance analytics.
- Usage data — pages visited, features used, timestamps, and device/browser metadata collected automatically.
- Institutional data — school name, board affiliation, class/section structure, and curriculum configuration.
2. How We Use Your Data
- Evaluating student answer sheets using AI models and generating detailed performance reports.
- Generating question papers aligned to curriculum standards via our Smart Paper engine.
- Providing analytics dashboards, trend analysis, and learning insights to teachers, principals, and parents.
- Improving our AI evaluation accuracy and platform features.
- Communicating service updates, security alerts, and support responses.
3. Data Storage & Security
All data is stored on Appwrite Cloud infrastructure with encryption at rest (AES-256) and encryption in transit (TLS 1.3). Databases are logically isolated per institution to prevent cross-tenant data access.
We implement role-based access controls, regular security audits, and automated backups to protect your information.
4. Third-Party AI Providers
To power AI-driven evaluation and question generation, student assessment data may be transmitted to the following third-party AI providers:
- Google Gemini — primary evaluation and generation model.
- Mistral AI — alternative evaluation model.
- OpenRouter — model routing and fallback provider.
Data sent to these providers is used solely for processing your request and is not retained by the providers for model training. Each provider's own privacy policy governs their handling of transient data.
5. Data Retention
Assessment data is retained for a default period of 3 years from the date of creation. Institutions may configure a custom retention period (shorter or longer) through their admin dashboard. Upon expiration, data is permanently deleted from all systems, including backups, within 30 days.
6. Student Data & Minors (COPPA Compliance)
eAI Examiner is designed for use by educational institutions. We do not knowingly collect personal information directly from children under 13 without verifiable parental or institutional consent.
- Student accounts are created and managed by institution administrators or teachers, not by students themselves.
- Parents may access their child's data through parent-specific portals with tokenised access links.
- Parents or guardians may request deletion of their child's data at any time by contacting their institution or emailing us directly.
7. Your Rights
In compliance with GDPR and applicable data protection laws, you have the right to:
- Access — request a copy of all personal data we hold about you.
- Rectification — correct inaccurate or incomplete data.
- Erasure — request deletion of your personal data (“right to be forgotten”).
- Data portability — receive your data in a structured, machine-readable format (JSON/CSV export).
- Objection — object to processing based on legitimate interest.

8. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email to institution administrators and through an in-app notification. Continued use of the platform after such notice constitutes acceptance of the updated policy.
